Your Inbound Agent automatically reaches out to new leads who fill out your forms.
Its goal is to start a natural conversation, ask your qualifying questions, and pass the lead to your team when ready.
Smart Conversations Powered by Training
To make your agent sound like your brand, it needs to know your business.
That's why you should upload a training document or knowledge base under the Train Your Agents tab in your client portal.
This helps the agent:
Understand your products and services - Ensure your Agent has accurate and up-to-date information about your products, services, features, and offerings. This enables it to provide relevant answers and assist customers effectively.
Match your tone and voice - Customize the Agent's communication style to reflect your brand's personality. Whether your brand is professional, friendly, or conversational, maintaining a consistent tone helps create a better customer experience.
Respond confidently to common questions - Equip the Agent with answers to frequently asked questions so it can respond quickly and accurately. This helps reduce response times, improves customer satisfaction, and ensures consistent support for common inquiries.
The more detail you include, the better your agent performs.
Conversation Flow
Here's how the Inbound Agent handles every lead:
First Contact– The agent sends a warm, branded email greeting the lead and asking your qualifying questions.
Lead Response –
If the lead answers all questions → the agent marks them as qualified and passes them to your team.
If the lead answers only some → the agent sends a follow-up to fill in the gaps.
If there's no reply within 24 hours→ the agent automatically hands off the lead to your team for manual follow-up.
Conversation Limit– To keep interactions efficient, the agent will only send up to two email threads per lead. After that, it's handed off for a human touch.
Why It Works
The Inbound Agent gives every lead a personalized experience — consistent, on-brand, and immediate.
It saves your team time by focusing on qualified leads who are ready to move forward, while still following up automatically on those who aren't.
FAQs
Why can't I see the attachments in the email after a customer submits an inquiry?
Why can't I see the attachments in the email after a customer submits an inquiry?
When a customer submits an inquiry with attachments, like images or documents, those attachments might not show up in the email notification sent to the user.
This occurs because the inquiry is submitted as a form, not as a regular email with file attachments. Instead of including the files in the notification email, the system saves them in Revscale along with the rest of the submission. The same attachments are also available in the customer's original source system, such as the website, CRM, or form platform where the inquiry was submitted.
Here’s how the process works:
A customer submits a form with attachments.
The system saves the complete submission, including the attachments, in Revscale.
An email notification is sent, but the attachments may not be included in that email.
To view the attachments, the user should open the inquiry in Revscale or check the original source system where the form was submitted.
The important point is that the attachments are not missing; they are just stored with the form submission instead of being attached to the notification email.
The notification email only shows what my agent replied — where do I see what the customer actually said?
The notification email only shows what my agent replied — where do I see what the customer actually said?
Notification emails are built to alert you that activity happened, not to reproduce the full conversation. For chat and inquiry conversations, the complete exchange — the customer's original message, any photos or files they sent, and your agent's reply — lives inside that lead's conversation in the Revscale platform.
To see the customer's full message:
Open the relevant agent (Chatbot, SignBot, or Inquiry Qualifier) in your Revscale dashboard. (For this instance, we'll use Inquiry Qualifier)
This isn't something missing or broken — the notification is a heads-up, and the platform is the source of record for the full conversation.
Where do I see a customer's full reply, including photos, if the notification email doesn't show it?
Where do I see a customer's full reply, including photos, if the notification email doesn't show it?
The full conversation — including attachments — is stored in the Revscale platform, not necessarily in the notification email or your personal inbox. Open the lead's conversation directly in the platform to see everything the customer sent. See How the Inquiry Qualifier Agent Works for the full explanation.
